RESERVATION & RENTAL POLICY

 
 

          At CASCADE VACATION RENTALS we make every effort to make sure we accommodate your every need. At the same time we must protect the interests of our home owners, and do the best job possible to assure each of them the rental income they are expecting and that their property will be protected against damage or loss.  For this reason we must enforce the following policies without exception.

Reservations are made and rates are quoted, based on the number of people using the rental and the dates on which the rental will be occupied.   Rental rates do not include tax, and until a reservation is confirmed, rates are subject to change without notice.

All reservations require a deposit of 50% of the stay. Payable by VISA, Mastercard, check or cash.  The balance of rent due must be paid in full no later than 21 days prior to taking occupancy of the rental, or as agreed by Agent.

Description of charges  due prior to taking occupancy of the rental property are, all rental amounts, 6% State Sales Tax,  2% State Travel and Convention Tax, Agency  fee of  3% of total rents, minimum $10.00,  and  payment  for any other services or activities requested by renter, plus the security/cleaning deposit as quoted by agent.

The person registering for the rental, must be at least 25 years of age, and assumes full responsibility for the actions of all occupants of such rental and for all visitors of  the guests, and accepts full responsibility for payment of any charges related to the rental, extra clean up, damage or additional guests, etc. Properties are not to be used for gatherings beyond the registered number of guests. Use of the premises by unregistered guests may result in a charge of $20, per additional guest per day, deducted from the security deposit, and occupancy by registered guests may be subject to eviction without refund. Tents or RV's are not allowed without prior consent of management.  All properties are privately owned.  Only the registered guest may check in, or pick up keys, for the rental.  A valid driver's license and credit card under the same name will be required at check in. 

Proof of age may be required.  Anyone under 25 making a reservation, or anyone making a reservation for persons under 25, will forfeit 100% of their paid rents and security deposit, and the reservation will be canceled.

Check-in time starts at 3:00 PM at the rental office, and ends at 6:00 PM, unless late check in has been arranged ahead of time. Check-out time is 11:00 AM., to ensure enough cleaning time between occupants.  Early Check in or Late check out is not allowed.  If you need extra time you may be able to extend your stay on a nightly basis, at full rate.  Failure to vacate the premises by 11:00 AM may result in additional charges to your security deposit without the benefit of occupancy for that day.  Please be considerate of the cleaning staff and the need to have the house ready for the next guests arrival time.

Cleaning costs are generally included in the rental rate, however we will deduct an additional fee for cleaning , from the security deposit, when we determine that excessive clean up is needed inside or outside; if the barbeque is left dirty; if more than two 30 gal. bags of trash is left behind; or if furniture has been moved and not returned to its original location, or if the "Check Out Procedures" have not been completed.

A security deposit of at least $500 will be charged to your credit card at check in.  Any damage, loss, more than average cleaning, excessive trash, smoking or pet violations, or any violation of this Reservation & Rental/Cancellation & Refund Policy will result in deductions from this deposit prior to refund.  Deductions from this deposit are at the sole discretion of Management.  Deposits may also be made in cash or cashiers check.  No personal checks will be accepted for security deposits.  Deposit refunds will be made within 15 days of departure, after the rental has been cleaned and inspected, or after any damage or loss has been settled to the satisfaction of the owner.  In all cases, the deposit must be in place before occupancy of the cabin is allowed.

Pets are NOT allowed at any property without a prior WRITTEN agreement from CASCADE VACATION RENTALS. When allowed, an additional security deposit will be required and there could be a charge for any additional clean up, inside or out, due to having a pet on the premises.   There will be a charge of $20 per night, per pet.  A charge of $100 will be assessed from the rental deposit for the presence of a pet not approved in advance plus any additional cleaning fees and renter could be required to vacate the premises without refund of rents or deposits.  Cats cannot be approved under any circumstances!

All rentals are Non-Smoking!!!  There will be an automatic charge of $100 for any unit smoked in, plus any additional costs for cleaning carpets, drapes, furniture, etc.  Guests who smoke outdoors on the property must dispose of cigarette butts, matches, lighters, etc. in appropriate containers to avoid additional cleaning charges.  These charges will be deducted from the security deposit.

Air conditioning is not standard equipment in most of the cabins in the mountains.  Cabins which do have this amenity will have it listed in the web site property description.

LP gas for BBQ is on the honor system and we ask that you have the tank refilled prior to departure.  Cascade Vacation Rentals does not supply LP gas.  Most rentals do not provide a barbeque during winter months.  Please do not plan to barbeque in the winter.

Firewood bundles or firelogs for fireplaces and outdoor fire pits are available at convenience stores in the area.  Availability of firewood at the rental, is not guaranteed.  Outdoor fire pits are not available in winter months.

Snow Removal is provided for driveways when there is a 6 inch accumulation, but we cannot guarantee what time a driveway will be cleared.  Snow shovels are provided for use around your vehicles and cabin entry. We recommend that you be prepared for winter conditions with snow tires and chains, and that you have emergency gear in your car.  We do not recommend rear wheel drive vehicles in the winter.

We strive to ensure that all facilities are in good repair and working order, however, there may be an occasion when an amenity is unavailable or is out of order or breaks down during an occupancy.  We will do our best to make repairs or replacements, but if neither is reasonably possible due to time or availability of parts or service, we can not guarantee these items and we can not make refunds based on circumstances beyond our control.

Holiday/Party decorations: Guests may decorate for special occasions at their own expense, but must remove and dispose of these decorations prior to departure.  Christmas trees may not be left behind, as the trash company will not pick them up.  There will be a $75 fee for the disposal of such items left by guests.

Items Left Behind:  Upon check out, PLEASE make sure you take all your belongings.  You will be charged $25.00 for postage and handling prior to items being returned by mail, and items will be shipped according to available time in our schedule.  We take no responsibility for personal items left in the rental.

Keys are the property of and must be returned  CASCADE VACATION RENTALS by noon on date of departure.   A key drop slot is provided at our office at 301 S. Front St., Cascade.  A charge of $100 will be assessed for each key not returned on time.   This charge will be deducted from the security deposit

All policies are subject to change without notice.  Renters will be answerable to Policies in effect on the day of registration.  Copies of these Policies are available at the rental office and at each rental. 

Reservations made more than six months in advance are subject to continued availability of the reserved property. 

We ask that the peace and privacy of all of the neighbors to any of our rentals be respected at all times. We insist that the rental property be treated with respect and consideration and that no illegal acts are performed on such rental property. Any violations of the above stated policy could result in eviction from the premises without notice and without refund of any deposits or rents.   

All of the properties managed by CASCADE VACATION RENTALS are privately owned. We reserve the right to refuse service to anyone and will not be liable for damage, injury or loss by fire, theft, accident, or any other cause whatsoever, to either the persons or property of any guest or visitor of any guest.

CANCELLATION & REFUND POLICY

CASCADE VACATION RENTALS will not be responsible for acts of God, unfavorable weather or road conditions, or any circumstances beyond the control of Cascade Vacation Rentals, and any of these will not be considered grounds for cancellation or refund.

Cancellations and changes to reservations will be considered on an individual basis, however the following is our basic cancellation policy to which we will refer in most cases.

A reservation/rental obtained under a false pretense will be canceled by Cascade Vacation Rentals and will forfeit full rental balance and be asked to vacate.

Cancellations made 14 days or less, prior to scheduled check-in time will not be eligible for a refund.

Cancellations made 15 to 60 days prior to check-in will receive a 50% refund and charged a $100.00 processing fee.

Cancellations made 60 days prior to check-in will receive a full refund less a $100 processing fee.

Date changes resulting in a reduction of the number of days reserved are subject to a $100 cancellation fee for each day canceled.

There will be no refund for early check-out or for late check-in, or for "no show".

PETS AND SMOKING ARE NOT ALLOWED AT THE RENTALS.  A FINE OF $100 PLUS CLEANING FEES WILL APPLY TO ANY VIOLATION OF THIS POLICY.  THE REGISTERED GUEST ACCEPTS FULL RESPONSIBILITY OF PAYMENT OF FINES WHICH WILL BE DEDUCTED FROM THE SECURITY DEPOSIT.

What you should bring:  All rentals are fully furnished and have well equipped kitchens, with dishes, pans, utensils, toasters, coffee makers, micro waves, etc.  However, you may want to bring specialty items.  Bedding and bath linens are supplied.  If you use special pillows or blankets you should bring those also.  Most units have washer & dryers but not laundry soap.  Units are supplied with only limited paper products and no personal bath products, so it is recommended that you bring paper towels, toilet paper, soaps, shampoos, etc.   Please bring your own beach towels.   We ask that you not take house towels to the beach or boating.
